Solid State is a non-profit economic development organization that builds worker co-ops with racialized communities in Surrey. Solid State has many co-ops in operation and is constantly welcoming more, with members from various diverse professional and personal backgrounds. About The Role:
The Events and Operations Role is responsible for planning, promoting, and executing multiple annual events for the extended Solid State network. They are also responsible for daily upkeep, scheduling, and functionality of Solid State’s headquarters. This role hosts the following events and updates programming based on feedback with staff, co-ops, and partners. The role is housed within the Community Services Circle, a team of staff dedicated to the welfare and connectivity of Solid State’s extended network.

Responsibilities:

Scheduling & Cooking Team Coordination

  • Coordinating food orders and kitchen logistics.

  • Supporting the cooking team through regular meetings and check-ins.

  • Managing space bookings and scheduling, with a priority to our internal co-ops.

  • Coordinating and communicating to the community about space closures.

  • Coordinating calendars and schedules, among both our staff and our larger community which includes co-ops, external partners, and general membership.

  • Keeping the kitchen stocked with snacks, tea, coffee, and other relevant supplies.

Space Management

  • Supporting day-to-day operational needs as required, including keeping the entire physical space, including the kitchen, functional and organized.

  • Managing external storage unit and facilitating regular checks and clean-ups to ensure compliance with our policies.

  • Monitoring and stocking office supply inventories, including stationery, printer, computers, laptops, and other technology or materials in the space.

  • Hiring and coordinating contractors as needed for space repairs, upgrades, or more.

  • Purchasing supplies for the space as-needed.

Membership Engagement: Gatherings, Workshops & Events

  • Support coordination for community gatherings and events.

  • Lead workshop planning and facilitation.

  • Collaborating on communications distributables that accurately represent cohorts and Solid State’s values and mission.

  • Coordinate event staffing, logistics, and scheduling. This includes:

    • Event budgeting, planning, design, production, promotion, and overall coordination.

    • Operationalization of Solid State and Solidarity Economy values in the Role’s activities e.g. ensuring events are equitable, accessible, inclusive.

    • Creating and collaborating on promotional materials, social media, earned media, the communications circle and all staff to promote community events.

  • Coordinate with the Communications & Engagement Circle to develop event communications and materials.

  • Proposing and advising on which events would deliver on Circle and Solid State goals.

  • Membership Engagement Events: Coordinate cross-cooperative learning opportunities and workshops, support member participation in present and future committees and organizational initiatives. Annually, this includes:

    • 4-6 Educational events that bring potential co-op applicants to our space and spread the word about our co-op development program. Solid State hosts two application periods per year so each intake has a minimum of two educational events each.

    • 2 Co-op Days - these events occur at the end of each co-op intake period to welcome new members to the community while appreciating the work of existing members.

    • 1 Year-end celebration which occurs as a final celebration for the entire Solid State community before its winter closure - the last two weeks of December.

    • 1 Staff retreat which is a dedicated day each summer for staff to work through organization-wide discussions followed by a special excursion or field trip.

    • 8-10 cross co-op collaboration and/or knowledge sharing events per year

Schedule: 30 hours per week (considered full-time).

Hybrid Model: 4 days in-person; 1 day flexible/remote

Wage: $40.04 per hour

Vacation (8 Weeks Total):

  • 4 Weeks Flexible: To be taken at your discretion throughout the year.

  • 2 Weeks Fixed (Summer): Scheduled time off at the end of August.

  • 2 Weeks Fixed (Winter): Scheduled time off at the end of December.

Qualifications:

  • Experience facilitating workshops, meetings, or presentations.

  • Strong project management and organizational skills.

  • Excellent written and verbal communication skills.

  • Familiarity with Eventbrite and experience planning large community events.

  • The ability to work autonomously and also collaborate effectively with a team.

  • A commitment to equity, accessibility, inclusion, and community-led decision-making.

  • Have skill at handling big projects smoothly, good at building relationships with different people, and not intimidated by the size or importance of the job.

  • Take initiative but also respond well to feedback and collaboration, ready to be accountable and appropriately hold others to account.
